What this has looked like in practice

FIELD NOTE · OWNER-RUN CAREER-TRAINING SCHOOL, TEXAS

An owner-run Texas career-training school has run on what we built since April 2026: five cohorts, two programs, in daily use. Handwriting, retyping the same details into three places, and copying information between documents came out of the operation.

FIRST DAY Students enter their own details. The forms and the master list build themselves from what they type.
DIPLOMAS Photographed on the student's own phone and filed against the right record.
PAYMENTS Reconciled against the card processor instead of the inbox.
RECORDS Duplicates merged, gaps filled, credentials matched back to the students who earned them.
RESUMES Thirty a month. Certification numbers matched from the record instead of chased and copied by hand.
ATTENDANCE Taken in the room, and it feeds the refund arithmetic.
REFUNDS The state's own worksheet produced by the system and correctable by the owner.
INSPECTION Student files are kept complete as the work happens. The annual state review passed with no findings, and pulling what the inspector asks for takes seconds.

On her own account of what those jobs used to take, the intake days, master lists, daily payment checks, resumes and verification calls add up to hundreds of hours a year. That is before the month she used to spend preparing for inspection.

One affiliated customer. Scope is set by the operation in front of us, so this is a record of what that work covered, not a standard package or a promised level of service.
